This position is located in the General Services Unit of ECLAC Mexico. The selected intern will report to the Supervisor of the Unit.
The United Nations Economic Commission for Latin America and the Caribbean (ECLAC) was established in 1948 to encourage economic cooperation among its member states. It is one of five regional commissions under the administrative direction of United Nations headquarters. ECLAC has 44 member States and eight non-independent territories in the Caribbean, and reports to the UN Economic and Social Council (ECOSOC). ECLAC maintains subregional offices in Mexico City and in Port-of-Spain, country offices in Buenos Aires, Brasilia, Montevideo and Bogotá, and a liaison office in Washington, D.C.
The Subregional Headquarters of ECLAC in Mexico was founded in 1951. It provides technical advice to governments of the countries of the subregion (Mexico, Cuba, Guatemala, Haiti, Honduras, El Salvador, Nicaragua, Dominican Republic, Haiti and Panama) in various socio-economic, technical and financial fields, as well as on development matters and integration issues. The subregional office in Mexico is comprised of five substantive units on Economic Development, Social Development, Agricultural Development, International Trade and Industry, and Energy and Natural Resources, in addition to the Office of the Director, the Administration Section, the Editorial, Documents and Conference Services Unit, and the Information Resource Centre and Publications Distribution Unit (Visit http://www.eclac.cl/mexico/).
The candidate, under the general supervision and guidance of the General Services Supervisor of ECLAC Subregional Headquarters in Mexico, is expected to undertake the following activities:
-Monitor, review and follow-up on actions related to the administration activities and interaction with administration units.
-Assist with day-to-day administration of contracts between the UN and external contractors for outsourcing services
-Prepare and process UN forms and permissions for contractual and work Unit, Section or Service UN staff, including: ground passes, property passes, parking permits, swipe-card access and door keys.
-Perform other related administrative duties, as required.
-Maintain up-to-date work unit files (both paper and electronic)
-Receive phone calls and visitors and refer them to the appropriate source or reply personally to queries when possible.
-Photocopy a variety of documents and other materials.
-Coordinate extensively with service units and liaise frequently with internal team members both at Headquarters and in the duty station.
-Operate a variety of office equipment in the performance of basic office functions, e.g. photocopier, printer, scanner, etc.
-Coordinate meeting and events arrangements.
-Perform other duties as required.

Client Orientation: Considers all those to whom services are provided to be clients and seeks to see things from clients' point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients' needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients' environment to keep informed and anticipate problems; keeps clients informed of progress or setbacks in projects; meets timeline for delivery of products or services to client.
Applicants must meet one of the following requirements:
(a) be enrolled in a graduate school programme (second university degree or equivalent, or higher);
(b) be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent); or
(c) have graduated with a university degree (as defined above) and, if selected, must commence the internship within a one year period of graduation.
For this internship, studies in the area of administration or secretariat support are desirable.
Applicants are not required to have working experience for participation in the programme. Nevertheless, experience with administrative support is desirable.
English and French are the working languages of the United Nations Secretariat.
For these internships, fluency in Spanish (both oral and written) is required. Knowledge of English or another official UN language is an asset.
NOTE: Advanced level equals a rating of fluent in all four areas (speak, read, write and understand) and Intermediate level equals a rating of confident in two of the four areas.

The internships are for a minimum of two months with the possibility of extension up to a maximum of six months, depending on the needs of the department and availability of the interns.
Interns are not paid and are responsible for all expenses related to the internship.

Interns normally work five days per week (35 hours) under the supervision of a staff member in the department or office to which they are assigned.
Interns must keep confidential any and all unpublished information obtained during the course of the internship and not publish any reports or papers based on such information except with the explicit authorization of ECLAC.
